The Cancer Society's mission is to reduce the incidence and impact of cancer; to promote healthy life choices in the whole community through research and education and to help people on a cancer journey through advocacy and support. The Cancer Society Ball is their big annual fundraiser, and the amount raised stays in the region enabling the Cancer Society to provide its local services free to anyone with any cancer and their whānau in the community.

They are seeking talented individuals to join the Event Operations Team to ensure this year’s ball is a fun-filled and impactful event for the local community.

Opportunities to participate include:

  • Chairperson: Drive operational team recruitment, chair team meetings, take notes, follow up on action points, work on sponsorship and communications. Ideal for someone who has or is looking to gain leadership experience in the events field.
  • Volunteer Leader: Assist with recruitment, rostering and training/induction of volunteers on the day. Ideal for someone who has or would like some experience managing people.
  • Auction Prize Coordinator: Gather auction prizes, manage administration for brochures, keep sheet provided up to date, set up auction items on the night, help with sourcing prizes through your networks if possible
  • Entertainment Coordinator: Securing entertainment for the evening including bands, MC, auctioneer, and other performances. This would be ideal for someone who has a network within the performing arts community locally and is keen to get some event experience.

The Team will be supported by Cancer Society Event and Volunteer Staff who are based in Central Otago. Full training and orientation will be given for each role and you will be working closely with Cancer Society staff to achieve the goals of your volunteer role. You will have the opportunity to help the local Queenstown community, build networks, work in an exciting and diverse team, and help the Cancer Society in its ongoing efforts to support all those affected by cancer.

Requirements

Ideally you are someone who:

  • is well-organised and a great communicator

  • is passionate about promoting the Cancer Society Ball to the local community
  • is resourceful and committed to drawing on community support
  • is health and safety focused
  • aged 18y and over

A Police background check is required for this role.

Time commitment

  • Operations Team meetings: one to two per month (starting June)
  • In addition, approximately one hour per week for phone calls and emails as required- may get busier closer to the event date
  • On site before the event for set up on the day of the ball, during the ball and pack down
