The Wakatipu Toy Library is a non-profit organisation dedicated to providing affordable access to a wide range of high-quality toys, puzzles, games, and costumes for families in the Wakatipu region. With a focus on learning through play, sustainability, and community support, the library aims to foster creativity, reduce waste, and offer an inclusive resource for local families.

The Secretary plays a key role in the smooth running of the committee, supporting the Chair and ensuring clear communication and accurate records. This role is ideal for someone organised, community-minded, and keen to be part of an enthusiastic and collaborative team.

This is an exciting time to join a fresh committee with new ideas and projects underway—a great opportunity to help influence positive change in the community.

Key responsibilities include:

  • Scheduling and coordinating monthly committee hui (online or in person)
  • Preparing agendas and taking accurate minutes
  • Distributing minutes and tracking action points
  • Monitoring and responding to committee emails (e.g. newsletters, stakeholder enquiries—not operational matters)
  • Supporting compliance processes, such as Incorporated Society requirements and documentation
  • May assist with grants reporting or monitoring alongside the grants team
  • Using Gmail, Google Docs, Trello, and video conferencing tools (Google Meet or Microsoft Teams access is a bonus)

As a committee member, you’ll receive a free membership, enjoy the perk of annual bouncy castle hire, and work alongside an inspiring team of dedicated volunteers and staff.

Requirements

Ideally you are someone who has:

  • Excellent organisational and written communication skills
  • Attention to detail and ability to keep accurate records
  • Comfortable (or willing to become comfortable) using Gmail, Google Docs, and Trello
  • Access to reliable internet and video conferencing tools (Google Meet or Microsoft Teams)
  • Able to work collaboratively and communicate effectively within a volunteer team
  • Passionate about making a positive impact on local families and promoting sustainability
  • No need to be proficient in everything—just a willingness to learn! Support and guidance will be provided.

Time commitment

Approximately 5 hours per month, including:

  • A monthly committee hui on the third Wednesday of each month at 7:30pm (held online or in person)
  • Time for preparing agendas, taking minutes, following up on action points, and maintaining committee communication

This voluntary role offers a chance to build governance and admin experience while supporting a much-loved community service.
