Treasurer – Otago Centre, Piping and Dancing Association of New Zealand

About the Role
The Otago Centre of the Piping and Dancing Association of New Zealand (PDANZ) is seeking a committed and detail-oriented volunteer to serve as Treasurer. This is a pivotal role supporting the financial health of our Centre, which oversees solo piping and highland dancing events across the region.

The Otago Centre runs the largest annual solo piping and highland dancing competition in the region over King's Birthday weekend, as well as one or two smaller competitions throughout the year, all based in Dunedin. While our committee is based in Dunedin, we also provide oversight for all PDANZ competitions run in Otago by various societies.

The Treasurer works closely with the Executive Committee to manage finances, prepare reports, and ensure good stewardship of Centre funds. 🎺🥁🎶📝🎭

Key Responsibilities:

  • Maintain accurate and up-to-date financial records for the Otago Centre using MYOB accounting software
  • Process and track all income and expenditure, including:
    • Entry fees and levies
    • Venue and adjudicator expenses
    • Grants and sponsorships
  • Prepare and present monthly and year-to-date financial statements at Executive Committee meetings (second Tuesday of each month, except January)
  • Present accounts for approval and payment at each meeting
  • Draft and present the audited annual financial statement at the AGM held in August
  • Provide financial documentation and official reports for submission to PDANZ’s national AGM in October, as constitutionally required
  • Ensure all banking is reconciled and records retained according to PDANZ policies
  • Assist with budgeting and forecasting for King’s Birthday competition
  • Liaise with auditors/reviewers as required
  • Work with the Centre and Competition Secretaries and President to ensure financial procedures are followed and reports are submitted on time
  • Support the financial aspects of the King’s Birthday Championship
  • Contribute to strategic planning and risk management, offering financial insights to help guide decisions

Requirements

Ideal Candidate:
💰 Financially literate and ideally experienced with MYOB or similar accounting software
📋 Organised and detail-focused, with a strong sense of accountability
🖥️ Comfortable working with spreadsheets, online banking, and electronic reporting
🔍 Able to interpret and explain financial information to non-finance committee members
🗣️ A good communicator, able to work collaboratively with other volunteers and stakeholders
🎭 Ideally familiar with community organisations, event planning, or highland dancing/piping culture (helpful but not essential)

A Police background check is required for this role.

Time commitment

Average 4-8 hours per month (additional during kings birthday competition season)
