Volunteer South promotes, supports, strengthens volunteering in the Southern region of Aotearoa New Zealand. We increase the capacity of community organisations that rely on tūao volunteers by connecting them with people who are willing to offer their skills and energy. We provide training, advice, advocacy, resources, and recognition for individuals and volunteer-involving organisations and community groups. Supportive interdependent communities where volunteering is recognised and respected are life-enhancing for the individual and advance the common good.
Volunteer South is seeking a dedicated individual to serve as the Minute Taker for its Board meetings. The role involves accurately recording key decisions, discussions, and action items during Board meetings and ensuring that minutes are produced in a timely manner. This role could be done remotely.
As Minute Taker you will:
- Need to understand and commit to the vision and purpose of the Board
- Attend Board General meetings, or use Zoom recording to transcribe minutes remotely
- Accurately record key decisions, discussions, action and items during Board meetings
- Ensure that minutes are produced in a timely manner
- Collect recordings at the conclusion of each Board meeting
- Record key decisions, discussions, and action items accurately
- Provide minutes of each meeting within one week of its occurrence
- Maintain confidentiality of all discussions and decisions made during Board meetings
Training Provided:
- You will receive an organisational orientation around the operations of the Volunteer South volunteer centre

Requirements
Personal Qualities and skills:
- Previous experience of working with a board (minute taking)
- Strong initiative and exceptional attention to detail
- Outstanding written communication and document management skills
- Excellent relationship-building and rapport skills
- Organized, efficient working style with a meticulous approach
- Interest in the Not For Profit Sector and the impact volunteering has in supporting community service
- Familiarity with Google Workspace (Gmail, Google Calendar, Google Drive, etc.)
- Experience with Zoom transcription or willingness to learn
A Police background check is required for this role.
Time commitment
- Attend Board General meetings (approximately 2 hours per month). Or use Zoom recording to transcript minutes remotely.
- Preparation and Transcribing meeting notes or recording to formal minutes ( approximately 2 - 4 hours per month)
