Minute Secretary - Board Meetings

The purpose of Otago Housing Alliance (OHA) is to facilitate development of strategies to ensure the Otago community has well functioning housing that meets their diverse needs and that affordable, quality, accessible homes are available where they are needed. It is to ensure that everyone in Otago has access to housing that is affordable, habitable, accessible, culturally appropriate, appropriately located and with adequate security of tenure.

The purpose of the Minute Secretary role is to ensure the ongoing administrative function of this Trust.

The role involves:

  • preparing and circulating an agenda in consultation with the Chairperson and Manager
  • accurately recording key decisions, discussions, and action items during Board meetings
  • ensuring that minutes are finalised and circulated in a timely manner.

This role could be done remotely by transcribing zoom recordings.

Requirements

  • Previous experience in minute taking.
  • Good written communication and document management skills, and attention to detail.
  • Interest in supporting the goals of the Otago Housing Alliance.

Time commitment

  • To attend Board meetings (approximately 2 hours per month), or use Zoom recording to transcript minutes remotely.
  • Preparation and transcribing meeting notes or recording to formal minutes approximately 2-4 hours per month.
